How to export data

Last updated October 13, 2026

Who can use this feature?
Admins only.

Overview

Export data lets you download your Atlas data as CSV files. You choose the data type (tickets, customers, accounts or sidebar conversations), the date range and the exact fields to include, so each file holds only what you need.

Exports run in the background, and every request is listed in the "Export data" history table with its status, fields and record count.

Key Features

  • Choose your data: Export "Tickets", "Customers", "Accounts", "Sidebar", or "All" of them in one request.
  • Date range filters: Use a preset ("Last 7 days", "Last 30 days", "Last 3 months", "Last 12 months", "All Time") or set a "Custom" start and end date.
  • Field selection: Pick individual fields, or "Select All", for each data category.
  • Background processing: Large exports run in the background. You don't need to keep the page open.
  • Export history: Review the "Data type", "Fields", "Records", "Exported on" date and "Status" of every export.

How to create an export

  1. Go to  "App Configuration > Data > Export data"  and click "New export".
  2. Select the "Data Type":
  • "Tickets": Ticket data such as IDs, statuses, subjects, conversation logs, creation dates and tags.
  • "Customers": Customer data such as names, email addresses, phone numbers and profile details.
  • "Accounts": Company data such as account names, domains, subscription tiers and linked contacts.
  • "Sidebar": Data from sidebar conversations.
  • "All": Every data type in one request. Atlas creates a separate export for each data type.
  1. Select the "Date Range" to filter the timeframe of the exported records:
  • "Last 7 days": Records from the last 7 calendar days.
  • "Last 30 days": Records from the last 30 calendar days.
  • "Last 3 months": Records from the last 3 calendar months.
  • "Last 12 months": Records from the last 12 calendar months.
  • "All Time": All historical records stored in Atlas.
  • "Custom": Set your own start and end date.
  1. Expand each "Fields To Export" section and check "Select All" or the individual fields you need. The sections shown depend on the data type:
  • "Tickets": "Tickets Fields To Export", "Customers Fields To Export" and "Accounts Fields To Export".
  • "Customers": "Customers Fields To Export" and "Accounts Fields To Export".
  • "Accounts": "Accounts Fields To Export".
  • "Sidebar": "Sidebar Fields To Export".
  • "All": All four sections.
  1. Click "Export". The request appears in the "Export data" history table with its "Data type", "Fields", "Records", "Exported on" date and "Status".
Important:
Small and medium exports usually finish within a few minutes to a couple of hours. Very large exports, or "All Time" ranges, can take several hours or 1 to 2 days. You don't need to keep the page open.

Export statuses

Track each export in the "Status" column of the "Export data" history table.

  • Pending: The request is created and waiting in the queue.
  • Tracing: Atlas is locating the data that matches your filters.
  • Started: Data gathering is complete and Atlas is building the file.
  • Preparing: The file is complete and being packaged for delivery.
  • Shared: The download link has been sent to your email address.
  • Completed: The export finished successfully and is ready to access.
  • Failed: An error occurred. Create a new export; if it fails again, contact support.

FAQs & Troubleshooting

How do I know when my export is ready?

Check the "Status" column in the "Export data" history table. When the export is ready, the download link is also sent to your email address.

Do I need to stay on the page while my export is processing?

No. Exports run in the background, and Atlas emails you when the file is ready.

How long does an export take?

Small and medium exports usually take a few minutes to a couple of hours. Very large datasets or "All Time" exports can take several hours or 1 to 2 days.

Why do I see several exports after selecting "All"?

Atlas creates one export per data type. Check the "Fields" column to see what each one includes.

What should I do if my export shows "Failed"?

Create a new export. If it fails again, contact support.

Why can't I see the ticket fields I need?

The "Fields To Export" sections depend on the "Data Type". Select "Tickets" or "All" to see "Tickets Fields To Export".

How can I make my export faster?

Choose a shorter date range and only the fields you need.
