How to manage Zeus AI Zendesk Integration

Overview

The Zendesk integration allows administrators to connect Zeus AI with their Zendesk workspace to automate ticket triage and customer response workflows. By analyzing incoming conversations against defined rules, protocols, and filtering criteria, Zeus AI can independently draft or deliver responses, route escalated conversations to the right team members, and keep ticket metadata up to date.

 How to connect Zendesk

Zendesk is a customer communication platform where teams manage conversations in shared inboxes. The Zendesk integration allows Zeus AI to connect to your Zendesk inbox and work with those conversations.

💡

Important: Before getting started, make sure you have the required Zendesk admin credentials ("Subdomain", "Email", and "API Token").

 To connect Zendesk:

  1.  Go to " Zeus AI > Platform > Zendesk ".
  2. Enter your "Zendesk Subdomain" (For example: mycompany for  mycompany.zendesk.com ).
  3. Enter your "Zendesk Email".
  4. Enter your "Zendesk API Token".
  5. Click "Connect".
💡

Important: Ensure you enter the correct credentials. If the credentials are incorrect, the following error message will appear: "Failed to fetch Zendesk data".

Response Modes

  1. Select the "Response Modes" for Zeus AI:
  • "Read-Only Mode": Zeus AI generates responses for QA and preview purposes, no live replies are sent. Or
  • "Active Response Mode": Zeus AI actively responds to Zendesk tickets based on assigned rules and filters that you can configure in the "Ticket Filter" and "When ticket is Escalated" sections.

Important: The "Ticket Filter" and "When ticket is Escalated" sections are enabled only when "Active Response Mode" is turned on.

Ticket Filter

  1. In the "Ticket Filter" section, specify the criteria Zeus AI should use to filter which incoming Zendesk tickets to answer:
  • "Bot User ID": Select the specific bot user account to filter which tickets Zeus AI will answer.

When ticket is Escalated

  1. In the "When ticket is Escalated" section, specify the automatic actions Zeus AI should take whenever an Zendesk ticket is escalated:
  • "A specific group": Route the escalated ticket directly to a designated group's queue.
  • "An individual user": Direct the ticket to a specific team member for immediate handling.
  • "Add tags to ticket": Automatically apply tags to categorize escalated tickets.
  • "Remove tags from ticket": Clear existing tags that no longer apply once a ticket escalates.
  • 9. Click "Save" to update the settings.
  • Danger zone

    The "Danger zone" section contains the option to disconnect the Zendesk integration. Use the "Disconnect" option only if you want to remove the existing Zendesk connection.

    💡

    Important: After disconnecting Zendesk, Zeus AI will no longer be able to process Zendesk conversations through that integration.

    FAQs & Troubleshooting

    Which Zendesk tickets will Zeus AI process when Active Response Mode is enabled?

    Zeus AI only processes tickets that match all conditions defined under your "Ticket Filter" settings in " Zeus AI > Platform > Zendesk " (e.g. bot user ID).

    What happens if Zeus AI cannot answer a customer query in Zendesk?

    If Zeus AI is unable to answer a customer query, it stops automated replies and executes the predefined "When ticket is Escalated" actions configured in " Zeus AI > Platform > Zendesk ".

    Does Zeus AI update existing Zendesk tickets tags during an escalation?

    Yes. Zeus AI automatically adds new tags and removes outdated ones according to the configured settings in " Zeus AI > Platform > Zendesk ".

    Why is Zeus AI not responding to incoming Zeus tickets?

    The incoming ticket metadata likely does not match your active "Ticket Filter" parameters in " Zeus AI > Platform > Zendesk ". Verify that the Zendesk "Bot User ID" match your exact filter configuration.

    What is the difference between Read-Only Mode and Active Response Mode?

    "Read-Only Mode" allows you to preview Zeus AI generated responses for testing and QA without sending replies to customers. "Active Response Mode" allows Zeus AI to send live replies directly to Zeus tickets.

    How does Zeus AI filter which tickets to answer?

    Zeus AI filters incoming tickets based on the selected Bot User ID under the "Ticket Filter" settings.

    What happens when a ticket escalates?

    You can configure Zeus AI to automatically reassign the ticket to a designated group or individual user, as well as add or remove specific tags.

    The Zendesk integration show the error: failed to fetch Zendesk data

    Verify that the "Zendesk Subdomain", "Zendesk Email" and "Zendesk API Token" are correctly entered in the "Integration Setup" fields.

    Zeus AI is not sending replies to the Zendesk tickets

    • Ensure the Zendesk integration is connected.
    • Ensure "Active Response Mode" is toggled on.
    • Also verify that a valid user is selected in the "Bot User ID" dropdown.

    Can I disconnect Zendesk?

    Yes. Use the option in the "Danger zone" section to disconnect the Zendesk integration. Once disconnected, Zeus AI will no longer process conversations through that connection.
