How to invite and manage team members and roles

Last updated October 13, 2026

Who can use this feature?
Admins only.

Overview

The Team page is where you add people to Atlas, assign their role, and keep track of who has access. Each teammate's role decides which parts of Atlas they can see and use, from read-only access to full control over every setting and app configuration.

From the same page, Admins can update a teammate's role at any time, archive a teammate who leaves to revoke their access while keeping their history, and unarchive them later to restore access without a new invite. Team management is a global setup: an Admin manages it for the whole workspace.

How to invite a teammate

Requirements:
You must have the teammate's email address. It can't belong to an existing teammate in your workspace.
  1. Click the main menu in the top left corner, select  "Settings"  and then  "Team" .
  2. Click "Add teammate".
  3. Enter the teammate's first and last name. This is the name shown everywhere from tickets to team lists.
  4. Enter the teammate's email address. The invite is sent to this address and becomes their Atlas login, so check the spelling.
  5. Open the "Role" dropdown and select a role, for example "Viewer", "Agent" or "Admin". "Viewer" is selected by default.
  6. Click "Save".

Atlas emails the invite. The teammate shows as "Invited" until they accept the invite and set their password. Once they do, their status changes to "Active" and they get access to Atlas according to their role.

Important:
Each email can belong to only one teammate. If they were archived, turn on "Show archived" and unarchive them.

How to resend an invitation

  1. Click the main menu and go to  "Settings > Team" .
  2. Locate the teammate with the "Invited" status, click the actions menu (ellipsis icon) at the end of their row and select "Resend invitation".

Atlas sends the invite email again.

How to edit a teammate's role

  1. Click the main menu and go to  "Settings > Team" .
  2. Locate the teammate, click the actions menu (ellipsis icon) at the end of their row and select "Edit".
  3. Open the "Role" dropdown and select the new role.
  4. Click "Save".

The new permissions take effect immediately.

How to archive a teammate

  1. Click the main menu and go to  "Settings > Team" .
  2. Locate the teammate, click the actions menu (ellipsis icon) at the end of their row and select "Archive user".

The teammate's access to Atlas is revoked instantly. Their history is kept, and they are archived, not deleted.

How to unarchive a teammate

  1. Click the main menu and go to  "Settings > Team" .
  2. Turn on "Show archived" to display archived teammates.
  3. Locate the teammate, click the actions menu (ellipsis icon) at the end of their row and select "Unarchive user".

Atlas displays a confirmation that the teammate's access was restored, and the teammate is back on the team as "Active". No re-invite is needed.

FAQs & Troubleshooting

Who can invite and manage teammates?

Admins. Team management is a global setup for the whole workspace.

Why can't I add a teammate?

The email address is probably already attached to an existing teammate, and a new profile cannot be created with it. Turn on "Show archived" to check whether the teammate was archived, and unarchive them instead.

My teammate still shows as "Invited". Why?

The teammate has not accepted the invite and set their password yet. Ask them to check their inbox, including spam or junk folders, for the Atlas invite. If they still can't find it, resend the invitation from their actions menu.

Does a role change require the teammate to sign in again?

No. New permissions take effect immediately, with no re-login required.

What is the difference between archiving and deleting a teammate?

Archiving revokes the teammate's access instantly but keeps their history in Atlas. The teammate can be unarchived at any time to restore access. The demo shows archive and unarchive options only, not a delete option.

Do I need to re-invite an archived teammate?

No. Select "Unarchive user" from their actions menu to restore their access in one click.

I archived a teammate and they disappeared from the list. Where are they?

Archived teammates are hidden by default. Turn on "Show archived" to see them alongside your active team.

Which role should I choose?

Choose "Viewer" for read-only access, for example for engineers, product managers or operations staff who need to see support data but don't reply to customers. Choose "Agent" for managing tickets and core features, or "Admin" for complete control over all Atlas settings and app configurations. See the roles table above for all roles.
